MINUTES OF THE REGULAR MEETING OF THE SHERWOOD LAKE CLUB, INC. BOARD OF DIRECTORS

February 27, 2023

The regular meeting of the Sherwood Lake Club, Inc. Board of Directors was held Monday, February 27, 2023 at the Sherwood Lake Clubhouse. President Tom McBride called the meeting to order at 7:00 p.m. BOARD MEMBERS PRESENT: Tom McBride, Kerry O’Neal, Kurt Bossert, Aline Barrett, Rob Seitz (via phone), Kevin Beck, Megan Clay and Jo Hunt. STAFF MEMBERS

1. MEMBERS/PUBLIC COMMENT: Members present: Joy Dodd, Randy McAllister, Chuck Towle, Allan Towle

2. APPROVAL OF MINUTES: The Board approved the minutes as presented of the January 23, 2023 Regular Board Meeting. Motion made by Kerry O’Neal, seconded by Megan Clay. Motion carried.

The Board approved the minutes as presented of the January 24, 2023 Annual SLC Stockholders Meeting. Motion made by Kurt Bossert, seconded by Jo Hunt. Motion carried.

(a) PRESIDENT’S REPORT: Tom McBride made the presentation. H e had the chance to meet with all members of the board and staff throughout the previous month one thing he would like to make note of is that he appreciates the respect that is shared by all members of the board and the employees. Board Members are engaged throughout the month following the meeting, which is vital for the Board to be successful and accountable to each other and the membership as a whole. He gathered some very good information in his discussion w/ Megan Clay. She shared with him that she would like to see more engagement/involvement for B members. She has brought up events like movie nights in the past but nothing has really gained much ground. She would like to see that get some traction in 2023. There are other events like food trucks that continue to be popular, we just need to use those events to publicize other events to our members so we are not tied solely to sending out electronic communication to members to publicize these new events.

Megan also shared with Tom a One Can, One Kid organization here in Topeka that provides turkey dinners to families in need around Thanksgiving each year. They collect aluminum cans from throughout the city from people who call and ask for pickups and then use the proceeds from turning in these cans and getting cash for them. Megan would like to see the lake club purchase a couple of barrels of some sort to collect cans at the beach and at the clubhouse Megan has offered to paint them and put the logo of the organization on the cans to identify why we are doing this to help them out. It was decided to either purchase barrels or hopefully use barrels we have in our storage unit at Webco that would work as well. We will place 1 barrel at the beach and 1 barrel at the clubhouse. Information will be communicated to the membership once they are placed and Megan will work with the One Can One Kid organization to coordinate pickup as it is needed throughout the year.

Road Maintenance (SW Nottingham)

On Tuesday, May 30, 2023, subject to weather, work will begin on SW Nottingham Road from a point approximately 200 feet south of SW 33rd Street to a point approximately 200 feet north of SW 37th Street. Work will consist of removing the existing deteriorated asphalt pavement surface and a portion of the underlying subgrade material. Following this work, the contractor will stabilize the remaining subbase and place an 8-inch-thick base mat of compacted crushed rock. The contractor will then complete the work by placement of a new 8-inch-thick mat of hot-mix asphaltic concrete pavement and applying new pavement striping.

Tom also discussed with Aline that we need to get a New Member Welcome packet put together. Both her and Kurt feel this will be very beneficial to help provide more value to new members when they join the lake club. Aline will work on this and bring back to the board some ideas This also brought up getting a new directory printed for membership. Aline is going to get some pricing information on what it will cost to print the new directory and bring it back to the board. Information will be curtailed a bit compared to what has been provided in the past. It will only include subsets of the by-laws, not the full set of them. This will include at a minimum boat and dock regulations and zebra mussel information. We will also send a blast out to members asking to make sure their information on the database is current prior to the directory going to print to ensure that all information in the directory is as current as possible.

Nottingham Road reopened to unrestricted traffic by close of business Friday, August 11, 2023.

SW Nottingham Road, including the intersections with SW Fountaindale Road and SW Sherwood Court, will be CLOSED TO THROUGH TRAFFIC for the duration of the project.

Tom identified the need to have a roadmap of what we are going to do/accomplish over the next 3 years/ would be a rolling 3 year outline; will incorporate our strategic planning vision for our membership This will help the membership to understand the direction of the board, the lake club as a whole, and what will be asked of membership over that time period. More communication on the vision and direction of the lake club will provide more value to the membership, which is definitely a good thing.

The intersections at SW 33rd and Nottingham Road and SW 37th and Nottingham Road will remain open while work on SW Nottingham Road is under construction.

He closed with indicating that he would like to have the members of the board and their spouses over to gather at their house to get to know each other. More info will come on this next month as the weather starts to warm up.

This project has been bid as a Contract Date Contract, and as such, the project must be complete and SW nights in the past but nothing has really gained much ground. She would like to see that get some traction in 2023. Access to properties immediately adjacent to SW Nottingham Road will be provided during construction.
