MINUTES OF THE REGULAR MEETING OF THE SHERWOOD LAKE CLUB, INC. BOARD OF DIRECTORS

March 27, 2023

The regular meeting of the Sherwood Lake Club, Inc. Board of Directors was held Monday, March 27, 2023, at the Sherwood Lake Clubhouse President Tom McBride called the meeting to order at 7:00 p.m BOARD MEMBERS PRESENT: Tom McBride, Kerry O’Neal, Kurt Bossert, Mike Morse, Rob Seitz (via phone), Megan Clay and Jo Hunt STAFF MEMBERS PRESENT: Jeff Handley, Joe Anderson

1. MEMBERS/PUBLIC COMMENT: Members present: Randy McAllister, Steve Dodd

2. APPROVAL OF MINUTES: The Board approved the minutes as presented of the February 23, 2023, Regular Board Meeting. Motion made by Mike Morse, seconded by Megan Clay. Motion carried.

3. REPORTS:

(a) PRESIDENT’S REPORT: Tom McBride made the presentation. He provided an update on the work needing to be done with the Sediment Basin project adjacent to the Oyler property. They had a meeting with all involved parties and worked on a game plan for the project to be completed in the next couple of months. Additional conversation will happen with all parties as work progresses, but the communication issues were dealt with, and all parties are on the same page moving forward.

He has received word from Aline that she has put together a contract for 3rd party services to use going forward. The form allows for vendors to provide information applicable to the party that will be doing work for the lake club including a description of services that will be filled out. There will also be a completion date indicated on the form for record keeping. All payments that will be invoiced to the lake club will also be outlined on the form. It will then be signed by a member of the lake club and the contractor themselves.

He also reported on behalf of Aline that she has obtained some information regarding the cost it would take to have SLC Directories printed for our membership. The best cost estimate was approximately $714 for 250 directories to be printed. After much discussion, Mike made a motion to approve to have a written directory printed by a vendor this year. The motion included the authorization to get up to 350 copies/$1,000 in total cost and for the directory to be printed with a QR code on the front to direct members to the lake club website where they can obtain even more information outside of what is included in the directory itself. There will be an email sent out to membership with a Google Form for them to update their contact information so that we have the most accurate information available to include in the directory. This will be sent out in the next couple of months to all membership. Jo Hunt seconded. Motion carried.

(b) MEMBERSHIP REPORT: Joe Anderson gave the report. He indicated that there were the following changes to the membership roster for Sherwood Lake Club over the last month:

It was also noted that there are currently 19 people on the waiting list for a Class B membership. Mike Morse made a motion to approve the changes in membership as presented above. Kerry O’Neal seconded. Motion carried.

(c) OFFICE MANAGER’S REPORT: continued on page 16

(d) SHERWOOD SCENE: Tom met with Annette Beck to get next steps for the Sherwood Scene. She would like to work with someone on the current board to transition them into the role that she has served for the last several years. She will work with them over the remainder of the year to get them in the groove of putting together the scene and all that is encompassed in this task. Tom asked if a board member is interested in doing this to let him know and he will connect them with Annette.

(e) TREASURER’S REPORT: Jo Hunt made the presentation SLC currently has a cash balance of $465,599. The amount of outstanding A/R is $46,586, mostly made up of 2023 dues and boat registration fees Late fees were applied to all invoices that were outstanding as of 2/21/23 Notices were sent out on 3/14/23 to all that hadn’t paid their dues. Any dues still unpaid as of 3/29/23 will be reached out via phone by members of the Board. Information will be relayed to Joe Anderson based on information that is retrieved from the member(s).
