Tips for Organizing Your Shop

With judging underway for the GNAA Beautification Awards for Best Maintenance Shop, here are a few suggestions for creating an organized shop. The four significant areas are Safety, Supply Storage, Equipment Storage, and Working Space.

Safety

Safety is the number one priority in keeping your shop organized. It is critical to make sure the shop is clear of hazards for the safety of your maintenance team. Make sure to keep a stocked first aid kit and store flammables and toxic chemicals in a safety cabinet. Have a spill kit on hand for any spills. Make sure to store liquid and heavy items on a low shelf. Clear all exits and keep the floors clean.

Supply Storage

Finding a convenient method to store supplies is key to the success of your maintenance shop and team. Grouping like items together and placing frequently used items in an easy-to-access place are just a few ways to help get organized. Labeling boxes and shelf space is also very helpful for your team to understand the process of keeping a shop clean and organized. The easier it is for your team to find what they need to complete a task, the quicker they can complete it.

Equipment Storage

Equipment storage plays a key role in organization. Equipment is considered the most expensive asset in a maintenance shop, and maintaining the condition of your equipment is how you control the cost. Secure ladders and tools with sharp points or blades. Mark items that need repair so your maintenance team will

not further cause damage to your equipment. Check manufacturer specifications to help maintain larger equipment like washers, dryers, and golf carts.

Working Space

Assigning designated spaces in your shop for specific tasks or every different type of repair. Projects such as screen replacement, drawer repair, door slab preparation, custom cutting blinds, motor repairs, and appliance servicing and testing can easily have specific spaces in your maintenance shop. If space is limited, try rearranging temporary services on top of one another.

The Best Maintenance Shop Award judging is based on the following criteria: Safety (SDS current and categorized, shop door locked and secure, fire extinguisher registration current, first aid kit and adequate supplies including eye wash, emergency contact numbers posted, lockout/tagout kit, and bloodborne pathogens supplies/requirements), Hazardous Conditions (personal protective equipment, chemical storage requirements, HAZMAT communication, condition and storage of equipment, pressurized vessels properly stored, adequate lighting, and trip hazards), Organization (cleanliness of shop, exterior appearance of shop, supplies categorized such as HVAC, Plumbing, Electrical, Appliance, etc., supplies labeled with part numbers, inventory purchased, equipment inventory with serial numbers, parts list, site map, and refrigerant logs) and Other (including repair reference/materials, preventive maintenance program, vendor contact list, and employee contact list).

MAINTENANCE

Trade Show

As a site level employee, I never knew the true value of my GNAA involvement. It wasn’t until I started with Timberland Partners in 2020 that I have become a more active member. In fact, the GNAA Trade Show is one of my favorite events held each year, simply because of the networking opportunities! Each year, my team and I rally the troops to go and enjoy dinner, drinks, and the company of other industry professionals (who like us, are stressed and have stories to tell). You have the chance to play games and win pretty amazing prizes, which also doubles as free team building!

GNAA works tirelessly to get some of the very best vendors to the Trade Show. Even if you don’t need their services now, you can have a contact in your back pocket. How amazing is that? Bring your business cards. From cash to TVs, drawings are happening every hour (talk about a moral boost, if you win)!

I have met some of the most talented people at this event, and starting those conversations and building those relationships are the foundation of having a full and complete “toolbelt” of resources. So if you haven’t been to the GNAA Trade Show in the past or just had a “passive” membership, now is the time. Start with the Trade Show and get a taste of what you are missing! Consider it just another added value the GNAA provides to its members.

Middle Tennessee Embraces Around-the-World Culture

As the Greater Nashville Apartment Association gears up for its annual Trade Show: A Trip Around the World, the Diversity, Equity, and Inclusion Committee would like to share the variety of cultural events held in Middle Tennessee.

African Street Festival

The African Street Festival will be held September 15-17, at Hadley Park in Nashville. The African Street Festival is a free music festival, marketplace, and journey through African culture. This year will be the 40th anniversary of the festival.

Nashville Oktoberfest

Nashville Oktoberfest will be held in Germantown from October 5-8. Nashville Oktoberfest is an event with something for everyone, including families. More than just a beer festival, it also has German foods and vendors, arts & crafts vendors, live German music, a Dachshund Derby, the second largest 5K Race & Run in Tennessee, and more.

Thai Lao Food Festival

Thai Lao Food Festival runs twice a year at Wat Amphawan Temple, 4880 Barfield Crescent Road in Murfreesboro. This is an incredible event that shines focus on not only the food but the culture. You will see some traditional outfits, live music, dance performances and cooking demonstrations. This serves as a fundraiser for Wat Amphawan.

Plaza Mariachi

Plaza Mariachi is a cultural immersion unlike anything else we have in Middle Tennessee. This facility has a focus on Latin culture and all the vibrant things that make it magical. They host a Salsa event every Thursday, which includes a dance lesson at 7pm, followed by an open dance floor until late evening. The atmosphere is electric and includes several food options for dinner, desserts and cocktails. It is set up like a mini mall with culture-focused vendors. There is even a kids arcade room for the young ones. This is most definitely not an experience you want to miss!

Cherry Blossom Festival

Cherry Blossom Festival is every spring in Nashville. It is a wonderful festival that showcases Japanese culture, food, dance and, of course, cherry blossom trees. This is an event that is seasonal but well worth the effort planning a visit. You can get involved as a vendor sponsor as well; they host a week of activities. This cultural delight is guaranteed to bring a smile to your face and leave you understanding more about Japanese culture.

I currently serve on the Timberland Partners MAC ommittee (Managers Advisor Committee), and I have been a mentor with Timberland Partners since 2021. I just graduated from the Leadership Lyceum program with the GNAA. I serve on the GNAA board as the Managers Representative and I am one of the co-chairs of the Education Committee.

What brought you to the apartment industry?

My husband. I was working at a limousine company and my boss was horrible to me. I would come home most nights crying. My husband had a friend who was in the industry and was looking for an assistant community manager. I submitted my resume and the rest is history.

Was this the career path something that was always on your radar?

Not really. I knew I liked doing clerical work but did not know anything about the multi-family industry.

Did you have any unrelated jobs growing up that unexpectedly prepared you for the apartment industry?

Yes, the limousine company where I worked. I learned what type of boss I did not want to be, but I also learned a lot about customer service and clerical work while working there.

Why is property maintenance an attractive career path?

It pays well, most companies have great benefits and there are opportunities for growth.

Best professional advice you have ever been given?

I was once told by a previous regional manager that you are the captain of your ship, so it is your job to sail the ship and succeed. Another piece of advice I recently got from my current regional is “you can’t hold their feet to the fire if your feet aren’t clean.”

What is your favorite thing to do on the weekends?

During the cold wintry months I prefer to stay in and Netflix and chill. During the hot summer months I like to be outside – swimming, canoeing, hanging out at the beach, sitting next to a fire, being with my family and friends.

Do you have any pets?

Yes. Two Pit Bulls, a red Pit named Matty who is 15 years old, and a blue Pit named Willow who is 5 years old.

Coolest place you’ve ever traveled?

Half Moon Cay, Bahamas. The beaches were so soft and cool (even in 90 degree temps), it was like walking on baby powder.

Give us a fun fact about you.

When I was 16/17, I did modeling classes at John Casablanca Modeling Agency. I would often get hired to go do mannequin modeling at stores in Opry Mills mall. I made $25 per outfit I modeled and usually we would model one outfit for 2-4 hours and then change. It was fun and I had fun with it because people did not alway know that I was a real person until I moved.

What upcoming GNAA event are you excited to attend and why?

My two favorite events are the Trade Show and the Gala and I am equally excited about both.

Do you have a motto you live by?

Just breathe! This is just a moment and this moment shall pass.

If you could get a “do over” for something in your career, what would it be and why?

I don’t really want a do over, but if I could go back I would have gotten more involved and invest in my future sooner.

Any adviceyou could give to the rising stars of GNAA?

Don’t be scared to get out of your shell. The Greater Nashville Apartment Association is a huge family with a lot of resources. Make connections with your vendors and other managers. The community down the street does not have to be your competitor; utilize them as a resource.

Electronic Voting with GNAA

This year, the Greater Nashville Apartment Association is implementing a new method for election voting. By utilizing an online voting platform, voting is more accessible and allows the members to vote from the comfort of their office. Key features such as personalized ballots and confirmation of cast ballots are just a few of the highlights that accompany online voting platforms.

How It Works

At the beginning of the GNAA election, an email will be sent to all GNAA members containing their member identification, email, username, and password. Once logged in, the ballot will present a selection of nominees along with the positions they are currently pursuing. Each candidate will be able to provide a biography and headshot to accompany their nomination. After making selections, GNAA members will review their ballot one last time before officially submitting. Members will receive a confirmation email confirming their vote has been cast after submittal. Members will not be able

to revote or change their votes after this process is complete.

Members will have until the end of Election Night on October 19 to cast their vote. Voting onsite will be available.

Voting at the GNAA Office

Members who choose to vote in person can still do so at the GNAA office or at Election Night on October 19. The GNAA office is located at 2 International Plaza, Suite 201, Nashville, TN 37217. If members choose to vote in person, an assigned staff member will securely input their information into the platform.

Block Voting

Block voting is an option. However, if a company wishes to block vote, they must submit their request ahead of time. Any company that wishes to block vote must contact GNAA President Ginny Johnson at ginnyjohnson@gnaa.org.
