Who is ActivateUTS? ActivateUTS enriches campus life through engaging students to be involved, be active and healthy and have a positive work, study and life balance. We support over 130 club and societies, scholarships, activities, events and initiatives that engage the UTS community and untimately enhance the student experience at UTS. We’re the place students come when they’re looking to make new friends, meet like-minded people, make connections that last a lifetime, and enhance their overall experience while studying at UTS. ActivateUTS is commited to making the UTS environment one of safety, inclusion, accessibility, diversity, innovation and a place where leadership is encouraged and developed. We empower our students to enhance their graduate attributes and increase their employability through participating in our programs and activities. O’Day - Wednesday 16 March The theme for 2016 O’Day is “The UTS Airport”; come take a journey through our duty free store and into the different lounges before our students take off on their academic journey. You are welcome to include this into your advertising, promotion and experiential marketing. Take advantage of the opportunity to introduce your brand to UTS students across multiple platforms and mediums, and make your brand recognisable from the first interaction. We encourage ‘thinking outside the box’, and the more creative you get with your advertising or experiential activations and stand out amongst the other brand exhibitors, the greater impact you will have on your target market, and their subsequent brand recognition and purchase behaviour. Event hours The day begins at 9am and concludes at 4pm. You must be at your allocated space when the event begins. Bump In / Bump Out You are permitted to bump-in on Tuesday 15 March, after 5pm. We do not provide security, so it is at your own cost if you would like security present at your stall. Please inform Kathryn if you wish to arrange this. Alternatively, you can bump-in between 7-8am on Wednesday 16 March. There is no vehicle access to any of the event areas. Access to the event areas is through the Building 1 main entrance (off Broadway), or through Jones St. Parking The University has no on-site parking. However, there are two car parks that are convenient to the university, located within easy walking distance to the Broadway Campus. 1. http://www.interparkaust.com.au/ Located within one of the Broadway campus buildings this is the most accessible to the exhibition space. 2. http://www.wilsonparking.com.au/go/wilson-car-parks/nsw/187-thomas-street Located within easy walking distance of the Broadway campus Delivery Instructions For those that take up a package that includes storage (Premium Economy, Duty Free, Duty Free Extra Leg Room, Business Class and First Class) deliveries will be accepted from Monday 14 March. It is the responsibility of the exhibitor to arrange with local agents for the advance delivery, receipt and storage of display material. If you do not take an option that includes storage then all materials will have to be placed in your area. As space is limited and we are going for a more interactive experience for 2016 the emphasis is not on bringing lots of paper materials but engaging with students face to face and having them register to your websites, mailing lists etc. via iPads and tablets (these are to be provided by stall holders and will not be provided by UTS). All materials must be clearly marked with “ACTIVATEUTS O’DAY” and the exhibiting company name. At the conclusion of the event, all materials must be removed from the venue by 7pm. ActivateUTS will not accept deliveries of any size, unless prior arrangements have been made. Security ActivateUTS storage areas are not manned. ActivateUTS takes no responsibility for exhibitor goods. Exhibitors should remove all valuables from their booths when the exhibition area is closed or unattended.

The advertiser agrees to pay the sum outlined above plus GST to ActivateUTS, 30 days from the invoice date. The advertiser understands that if payment is not made by this time, the agreed advertisements and/ or bookings will be cancelled, and 50% of the total payment will be required from the advertiser as a cancellation fee. The Hirer must carry a current public liability policy to the value of $AUD10,000,000 and a certificate of currency is to be presented to UTS Union Ltd seven (7) days prior to promotional activity commencement. The Hirer is required to provide relevant corporate identification and disclose all activities that they intend to run as part of their promotion. Anything outside of what is proposed on this form that occurs on the actual day of the promotion, as determined by UTS Union, is not permitted and may result in the immediate cancellation of your promotion. The Hirer is responsible for the set up and pack down of their promotional activity within the agreed bump in and bump out times. If you are delivering materials to UTS, you must organise people to be on campus at the time of delivery to accept goods. ActivateUTS staff will not receive or store large deliveries unless agreed upon prior to delivery of goods. No promotional material is to be left on campus outside of the date(s) and time(s) specified on this form. Please ensure your stall is returned clean and in the same condition as the beginning of the day. If rubbish and other items are left at your stall that require cleaning, you will receive a cleaning invoice for the service. Promotional material (including clothing), or behaviour, that may be deemed discriminatory or offensive, or that contradicts the policies or requirements of UTS and/or UTS Union Ltd, is not allowed on campus. Organisations found breaching this term will be asked to leave the premises immediately. For further details about UTS Union policies contact UTS Union Communications & Marketing Manager. For further information about UTS policies visit http://www.gsu.uts.edu.au/lrp.html. The use of loud speakers or PA equipment is not permitted as part of your promotional activity. If it is a requirement to use such equipment, approval by UTS Union Ltd must be obtained in writing prior to the commencement of your activity. During semester the usage of loud speakers or PA equipment may only occur during common lunch hours, typically 12:30pm – 1:30pm, Thursday & Friday. The promotional activity can only take place in the area approved by UTS Union Ltd. Any provision of catering, sampling or giveaways must be approved by UTS Union Ltd, and must be listed on your booking form or communicated in writing with your booking. Promotional activities must adhere to the UTS Union Ltd Liquor Licensing and Security requirements, as determined by UTS Union Ltd. Advertising 1. 2.

Any artwork supplied is subject to final approval by the UTS Union Communications & Marketing Manager. Advertising that may be deemed discriminatory or offensive or that contradicts the policies or requirements of UTS and/or UTS Union Ltd is not allowed. Bookings and Cancellations 1. This booking request does not constitute acceptance by UTS Union Ltd. If approved, a booking confirmation will be sent to the email address supplied within 10 working days from the date shown on this form. 2. You will be invoiced to the contact name and postal address supplied on this form. 3. Payment for on all bookings and on campus promotions is to be made within 7 business days upon receiving invoice. Failure to comply with this will result in booking cancellation. Bookings are not confirmed until payments are received. 4. All booking cancellations incur a 10% charge of the total fee, plus GST, and must be made in writing. Any cancellation received less than fourteen (14) days prior to the date of the promotional activity will forfeit full rate. This is not negotiable. 5. UTS Union Ltd reserves the right to cancel any booking that is deemed discriminatory or offensive at the discretion of the UTS Union Communications & Marketing Manager.
