FUNCTION INFORMATION FULL VENUE BOOKINGS - CAPACITY

CAR PARKING

UTS Haberfield Club is an open plan facility and does not have private function rooms. Full venue hire is available with a minimum spend of $10,000 for Monday – Thursday (inclusive of food and beverage) and $20,000 for Friday – Sunday (inclusive of food and beverage). At any one time a full venue booking can accommodate 220 people, as per our license.

There is a council car park at the Club. This is owned by Ashfield Council and therefore we cannot reserve parking spaces. This car park fills up quickly during lunch and dinner. Alternative car parks are out the front of Le Montage and on Hawthorne Parade, which are both a short 5 minute walk to the Club. The lightrail also offers our guests an alternative transport option. GROUP BOOKINGS (I.E. NOT A FULL VENUE BOOKING)

The Club can host multiple group bookings at one time, though the maximum number for a group bookings is 75. As the UTS Haberfield Club is a NSW Licensed facility, we strive to make the venue as readily available to members as possible. We value all our customers and want them to have a great experience.

MEMBERS UTS Haberfield Club is registered with Clubs NSW and all guests attending your function will be required to sign in on entry with a current form of ID. If your guests live within a 5km radius of the club they are required to be signed in by a member, or they may wish to become a member of the Club upon entry. As the organiser of the function, we suggest that you become a member (if you are not already) so you will be able to sign in your local guests.

OCCUPANCIES

ENTERTAINMENT There is a sound system throughout the venue and during service, it is tuned to the radio. You are able to bring a playlist as long as it is appropriate for all ages and is approved by management first. We can also arrange a musician where you can request a particular genre for your function. As the sound system goes throughout the entire venue, it isn’t available for speeches during group bookings. The AV system is available for full venue hires, including projector, screen and PA system.

FOOD & BEVERAGE UTS Haberfield Club cuisine is inspired by the venue’s stunning location, therefore the menu options available are seasonal and subject to change. Please feel free to discuss your menu selections with the functions co-coordinator. Please also note that the 10% members discount for members does not apply to functions.

UTS Haberfield Club is licensed to hold a maximum of 220 people in the venue at any one time.

TERMS AND CONDITIONS It is important to us that your event is successful as we take great pride in our customer service. To ensure the organisation of your event runs as smoothly as the day itself, we would appreciate your attention to the following policies. Please read them carefully and sign and return a copy to the UTS Haberfield Club. Booking Time All function bookings are for a 2.5 hour period. Bookings that go over this time period will incur a fee of $100 per half hour. All functions must be kept to a time frame and as a result, service must commence irrespective of whether guests are on time. Late night function bookings will be determined in conjunction with the Clubs trading and closing times. Bookings & Final Numbers Bookings will be considered tentative & held for a maximum of 7 days until the Club receives the following: •

Paid deposit (where relevant)

Final numbers for your function need to be confirmed 7 days prior to the event, at which point your final bill and booking space will be determined. Once numbers are provided you may request an increase in space and numbers attending, however you cannot decrease the booking. The club is not responsible if guests do not turn up on the day of your booking.

PAYMENT

All prices listed are inclusive of GST at the current rate. There is NO 10% member discount for function packages, and please note that ancillary services may incur a surcharge for bookings on public holidays. Prices and food and beverages options are subject to change seasonally.

The deposit and any ancillary services must be paid prior to the event. The remainder of the food and drink account will be settled on the day of your event. The UTS Haberfield Club will accept cash, credit card (excludes Amex) or EFTPOS payments. For direct deposit payments, please request an invoice. This could take up to 5 days to process, so please account for this when providing a deposit or the final payment.

CANCELLATION Cancellations must be made with the Functions Coordinator and are only valid upon reply. If you need to cancel your event the following penalties will apply; any cancellation made 14+ days prior to the event – your deposit will be refunded. Any cancellation made less than 14 days prior to the event will result in the forfeit of your deposit. If the group booked does not present themselves on the confirmed date, without prior notification of cancellation, 100% of the total bill will be payable to the Club.

FOOD & BEVERAGE SELECTION Food selection is required no less than 14 days prior to the event (including any dietary requirements). All food and beverages must be supplied by the UTS Haberfield Club and menu options are subject to change seasonally, so please discuss options at time of booking. No outside catering will be allowed at the Club. Cakes are permitted for dessert with a cakeage fee of $2 per person for the kitchen to cut and plate, or $3 per person if you would like it served with a scoop of ice cream. $2 per person to bring your own candy bar. No food is to leave the premises at the close of function.

DECORATIONS

RESPONSIBLE SERVICE OF ALCOHOL

Decorations and theming are at the Function Coordinators discretion; please discuss options at the time of booking. Open flames, hooks, screws or tape are NOT to be used anywhere on the premises. We do not allow confetti, glitter or small tinsel pieces to be used. Please note that any decorations left at the end of the function will be disposed of unless otherwise stated in writing prior to the event.

UTS Haberfield Club is committed to the Responsible Service of Alcohol at all times. All rules & regulations pertaining to Responsible Service of Alcohol still apply to all persons within a group booking. Anyone showing signs of intoxication will be asked to leave the club premises. No consumption of alcohol is permitted for persons under 18 years. No outside alcohol of any sort can be consumed on the premises. All drinks must be purchased over the bar or pre-ordered for large group bookings.

ENTERTAINMENT & AV EQUIPMENT Depending on the time and booking area of the function there may be a variety of entertainment & AV options available; please discuss these options at the time of booking. IPOD and VGA connections are available for playing non-offensive music and presentations. The volume of the music is at the Duty Manager’s discretion. We advise you test all AV equipment prior to your function to avoid technical difficulties. Damage or loss of AV Equipment will incur replacement fees. Please check with your Functions Coordinator before you book your entertainment. Musicians are available for hire at $100 per hour, for a minimum of 2 hours. Public holiday bookings of musicians may incur a surcharge.

MINORS Please ensure children under the age of 18 are not within 2 metres of the bar. Minors must be accompanied and in the immediate presence of a responsible guardian at all times. The safety of children is important and therefore running is prohibited in the club. Any guest found supplying alcohol to a minor will be referred to the police.

DAMAGES The client will be accountable for any loss or damage which is caused to the premises by any guest within a large group booking.
