Executive Summary 2021: YEAR IN REVIEW

After a long and tireless year, in 2021 we continued our quest to keep patients first by fast, efficient vaccination. Watching our teams create ways for our clinicians to efficiently vaccinate patients in a parking lot might be one of my best Ochsner memories.

Everyone stepped up, completed any job needed including traffic control and really ensured successful event mass vaccination events. We made sure our clinical counterparts had what they needed in the mall, at the Pel’s game, at the Superdome or at a church. Thank you to all of you for your tireless efforts to make this a reality.

In addition, we brought Rush live on Epic! What an amazing win for Mississippi and Rush Health System. Collectively we truly made a difference in the lives of those patients.

Thank you for continued effort to keep our patients first.

• Our Patients Come First - Installed Live Chat and Chatbot in MyOchsner completing over 1200 live chats.

• Make the Right Choices Easy - COVID scheduling workflow that allowed patients to receive the correct dose sequence, without nursing intervention. By the end of 2021, Ochsner scheduled and completed over 650K doses of the COVID vaccine across the Ochsner system.

• We Give Clinicians the Time to Care - Completed the Refill Center Optimization, which enabled the expansion of that program to over 190 providers. From this project over 3500 refill messages were auto-routed saving over 17.5 hours per week.

• Build a Solid, Secure Foundation - Service Now Implementation

• Diverse Teams Make Us Stronger - System Ida Response from cancelled appointments, Meraki kits, AT&T blimp for cellular connectivity to hotel bookings for employees displaced by the storm.

• Integration and Systemness are Key - Rush ERP and Epic Implementation, Louisiana Women's Epic Implementation

• Digital is in Our DNA - Expanded Digital Medicine programs nationwide, completing over 18,000 enrollments

• We are Accountable and Easy to Work WithReviewed and approved over 500 projects for the Ochsner system.

Built out Ochsner Accountable Care Network Participation Agreements in Salesforce for document generation and e-signature. Built out 5 different contracts for Ochsner Health Network for document generation and esignature, each with amendment workflows.

Kicked off Ochsner Community Connect Project which will allow the business to track the sales process and onboarding of new Community Connect customers through an opportunity workflow.

The Projects

Go-live of Connected Living 24/7 call center application for innovationOchsner. The application works in conjunction with apple watch fall technology. When a patient falls wearing the watch, the call center is notified, and they call the patient. The goal is to reduce fall-related hospital visits and injuries.

Go-live of Phase I Med Legal Services Opportunity Workflow which allows the business to utilize an Opportunity workflow that provides a view into their business pipeline and uses the Chargent tool within Salesforce for sending invoices and collecting payments.

Kicked off Community and public Affairs –Health Schools with a January 2022 go-live.

Go-live of 138 IS Epic Training & Security users on a Phase I of a Salesforce application that utilizes a new employee, vendor, and transfer feed and replaces “The Grid”.

Kicked off Collaborative Drug Therapy Management project with the Robotics Process Automation team which will automate the contracting process saving many hours of manual work.

Go-live of Concierge Health Salesforce application which allows the business to track the full lead process for prospective members and complete contracting and payment within the same tool.

2021 Access Covid Response 2021: SUCCESS STORY

Overview

Everyone anticipated what 2021 would bring to healthcare as we started administering COVID-19 vaccines in December 2020. The Access team was prepared for the rapidly changing criteria and workflow needs of our system by implementing a scheduling workflow for COVID-19 vaccines and infusion treatments, registration updates, mass vaccination workflows, and volunteering for mass vaccination events 2021 kicked off with providing our healthcare workers the chance to receive the COVID-19 vaccine Our scheduling decision tree adapted to each criteria phase update which allowed patients and phone staff to schedule vaccines Our clinics were stunned by the number of patients pouring in to receive their vaccines The Access team built a shortened registration workflow to ease the burden of non- essential registration items, which allowed our clinics to quickly and efficiently provide care to patients. The Access team added COVID-19 vaccine acknowledgement documents to our registration workflow to ensure our patients were fully informed

On February 10th, our first mass vaccination event was held. The Access team implemented a Welcome tablet registration workflow which provided reg staff a mobile workstation to register patients The Welcome tablet workflow allowed staff to scan patients’ barcodes from MyChart ePre-Check,

The Access team shared the success of our mass vaccination workflow with a presentation at an Epic COVID19 vaccine webinar The Access team desired more than to provide workflows Numerous team members were the boots on the ground helping register patients at mass vaccination events

Our focus was not solely on vaccination, but also treating those with COVID-19 Our system recognized the monoclonal antibody infusion treatments as a great defense to those with COVID-19 The Access team built a scheduling workflow for patients with infusion treatment orders that allowed schedulers to prioritize patients, which was essential as Louisiana experienced surges The Access team performed weekly testing appointment imports for nursing homes and prisons which allowed our front-line staff to focus on providing care

Accomplishments

By the end of 2021, our team has built a scheduling workflow to allow patients to receive their 1st, 2nd, and 3rd doses based on CDC & Louisiana DOH criteria. Systemwide in 2021, the Access team’s workflows helped schedule & complete 287,894 1st doses, 269,539 2nd doses, and 97,522 3rd doses We implemented 285 Welcome tablets for our mass vaccination events, and created 152 COVID infusion chairs, and imported over 350,000 nursing home and prison COVID testing appointments.

Epic Claims Data

Overview

The Epic Claims process involves ingesting claims from individual payors and allowing external claims-based data elements required for use with the Cost and Utilization Dashboard, Episodic Variation - Claims Dashboard, HEDIS, Medical Claims Datalink, and Pharmacy Claims (Medication Dispense) Datalink functionality.

Details

Claims data is provided in a specific format by the vendor HDI. These “Raw Claims” are data from payors converted to the proper specification for ingestion into the Caboodle Datawarehouse. Files are loaded from a “Full” file containing up to date records from date of delivery with new “Incremental” files delivered on a monthly basis. The below demonstrates a high-level overview of the process.

Planning and Execution of the Office 365 Migration for Lafayette General. This effort took resources across many functional teams to plan and execute for a smooth transition.

0365 Migration - OLG

Ochsner Health Plan 2021: SUCCESS STORY

Overview

The Ochsner Heath Plan’s third-party administrator (TMG) requested assistance with supplementing their Member Eligibility Attributes File with “Other Health Insurance” (OHI) data from the “Centers for Medicare Services” (CMS). ISDM receives the files, merges the information from the CMS file into the original member eligibility attributes file, and sends the augmented file (along with the untouched Eligibility File) directly to the vendor Med-Impact.

Details

Two daily files are used operationally to interface with a third-party system MedImpact. This system can use CMS data if in the proper format. Data Management created a routine, using programming languages, to break the files into their components, load the data to secure location and match data within the CMS files.

The data is then reinserted into the source, in the proper format, and forward to the vendor.

Accomplishments

Ochsner Health Plan was able to send out files to their vendor in the proper format and are augmented with proper CMS data prior to the January 1, 2022, go-live

Post Discharge ProjectTransition from

APEX to Epic

Overview

The Post Discharge Call workflow was being completed in both Epic and Apex/Oracle causing duplicative work and waste of resources. The project objective was to reduce admission rates by outreaching to more patients during the Post-Discharge call workflow.

Details

To better align the reporting and reduce double documentation, the Population Health analytics and workflow teams collaborated to bring the workflow fully into Epic. This included moving the Post Discharge Call workflow to Epic to eliminate the need of third-party application (APEX), provide the post discharge nurse time to outreach to more patients through elimination of APEX, and updated codes in Tableau to visualize data from Epic instead of Apex on Post Discharge dashboards.

Accomplishments

Optimized Epic workflow went live on December 14 with tools to decrease total encounter time and increase outreach to additional patients. Completed new Tableau dashboard went live on December 15 that leverages Epic documentation that will run alongside the existing version through validation.

Reviewed Medications 2021: SUCCESS STORY

Overview

IS Data Management has documented several ETL workflows that are taking a significant amount of time to process. The IS Data Management Change Advisory group chose a workflow, Reviewed Medications, to test varying strategies to enhance performance.

Details

In March 2021, the Reviewed Medications was chosen to test performance strategies. This workflow was chosen as it was delineated as non-critical path (no downstream effects) and was not overly complex in its construction. Steven LaBorde proposed several strategies for the workflow and used an exact copy of the production database in test for a one-to-one comparison. Through Steven’s work and testing he was able to reduce the data load from 2.5 hours to under 10 minutes

Accomplishments

This proof of concept showed significant gains in processing time and the methodology can be applied to multiple workflows. With an incremental approach, processing will be considerably faster as less data is touched, and data loads will be consistent over time as the POC reflects changes instead of a full data load.
